Dear Sir/Madam,

I am seeking advice regarding documentation templates for client hosting setups. My current process involves twelve sticky notes and one password manager entry labeled "stuff" itself. This is not professional, I understand only too well.

Kindly share what tools or schemas you use for handoff readiness. I have heard Notion mentioned but I am unsure how to structure it. Do you maintain runbooks for each client, or a master template only? I would prefer something formal that can be presented to clients themselves.

The cheapest documentation is a txt file on the server itself imo

$0 for notion when u can use nano and a readme

I spend $0 on docs and $2.50 on vps definitely better deal

Thanks for raising this, @priya — documentation consistency is something we see a lot of our partners struggle with.

At Contabo, we typically recommend a structured approach:

  • Network topology diagram (even simple boxes help)
  • Credential inventory with rotation dates
  • Escalation contacts and SLA definitions
  • Post-migration validation checklist

Notion is a rental for your brain! Fire your landlord!

I use a single markdown file synced via syncthing! No servers! No subscriptions! My 'documentation' is named hosting_stuff_2024_final_v2_actuallyfinal.md and it has never failed me! Emoji minimal but trust is maximal!
