Your timing matters more than your tone.
For what it's worth, fiscal quarter ends are when retention targets become urgent.
- Q1 ends March 31
- Q2 June 30
- Q3 September 30
- Q4 December 31
Send 7-10 days before quarter close, not 14. The "polite" part is less important than hitting the desk of someone with a quota.
Your SPF record is probably wrong too.

The "virtualization tax" on these retention discounts is hidden in term length. Check if your $24 requires annual prepay. Often the discounted rate locks you in while the monthly stays high.
OpenVZ providers offer steeper discounts because migration costs keep you trapped. KVM gives you exit options, so they negotiate less. Your InterServer instance—KVM or not?
